Convert Bank Statement PDFs to a QuickBooks CSV

Turn a PDF or scanned bank statement into the 3-column CSV that QuickBooks Online’s bank upload reads: Date, Description, Amount, with money out as a negative amount. Before you download, the balance check confirms that the opening balance plus every transaction equals the closing balance, so a missed or misread row is caught before it reaches the books.

Features

  • Exports Intuit’s 3-column bank upload layout: Date, Description, Amount
  • Money out is written as a negative amount and money in as a positive one
  • Pick MM/DD/YYYY or DD/MM/YYYY dates to match your QuickBooks settings
  • Checks opening balance + transactions = closing balance, and flags the row where a running balance stops adding up
  • A description made only of digits, which QuickBooks rejects, is written as “Ref” plus the number
  • Rows whose date or amount cannot be read are named and left out, never exported with a guessed value

How it works

  • Upload the statement: A PDF bank statement, native or scanned.
  • Check the balances: Every transaction is extracted, then the opening balance, money in, money out and closing balance are checked against each other.
  • Download the QuickBooks CSV: Choose “QuickBooks Online bank upload” in the export options, then upload the file in QuickBooks Online.

Frequently asked questions

  • Which version of QuickBooks is this for? QuickBooks Online. The file follows the 3-column layout (Date, Description, Amount) in Intuit’s guide to formatting CSV files for bank transaction uploads. It has not been tested with QuickBooks Desktop.
  • What happens if the statement does not balance? The balance check shows which row breaks the running balance, so you can correct that cell in the editor before exporting. You see the result before you download, and the export is not blocked.
  • Can I still get an Excel file? Yes. The same extraction exports to XLSX, CSV and JSON too, and the Excel file includes a Verification sheet with the balance check.
  • Is it free to try? Yes, every plan includes free monthly extraction credits, no credit card required to try it.
